[Registered business name] (“ClosiPass”) is responsible for your personal data. This policy explains what we collect, why, and your choices. We handle personal data under the laws of Canada, including its data-protection rules.
1. What we collect
Your name, phone number and email; the details of what you ask us to pay for (provider, payment link, invoice file, amount, currency, purpose, recipient details, notes); your messages to us; your marketing choice; proof that you accepted our terms (time and version); and, if we need to verify a payment, identification or source-of-funds information you give us. We do not ask for your bank card numbers, banking passwords or PINs, and you should never send them to us.
2. Why we use it
To prepare quotes, carry out the order and pay providers; to confirm your payment and contact you about your order; to prevent fraud and meet legal, tax and compliance duties; to keep records; to answer messages; and, only if you agreed, to send you news and offers. We rely on performing our contract with you, our legal obligations, our legitimate interest in preventing fraud, and your consent (for marketing).
3. Who we share it with
With the international provider you asked us to pay, only what is needed to complete that order; with banks and mobile-money operators that move your money; with the technology providers that host our service (our database and website hosting), who process data only on our instructions; and with regulators, courts or law enforcement where the law requires, or to protect against fraud. We never sell your personal data.
4. Where it is stored
Our database and uploaded files are stored with our hosting providers in the European Union (Germany), and our website is served through a global network. This means your data is processed outside Ethiopia. We use access controls, private file storage and encrypted connections, and limit access to team members who need it. No system is perfectly secure; if a breach affects you we will notify you and the authorities as the law requires.
5. How long we keep it
We keep order and payment records for as long as the law requires for financial and compliance records, and otherwise only as long as needed for the purposes above. Marketing details are kept until you unsubscribe. Uploaded invoices are kept with the order they belong to.
6. Your choices and rights
You may ask to see, correct or delete your personal data, to object to or restrict its use, and to withdraw marketing consent at any time (every marketing email will include an unsubscribe option). Some records we must keep by law and cannot delete on request. Email support@closipass.com to make a request; we may need to verify your identity first.
7. Cookies and tracking
The public website does not use advertising or analytics cookies. The staff area uses a sign-in cookie that is strictly necessary. If this changes we will update this page.
8. Children
ClosiPass is for people 18 and over. We do not knowingly collect data from children.
